The TeamPulse actions hub SuiteCRM view gives sales managers a structured, trackable channel for manager-to-rep communication inside CRM. Rather than coaching conversations happening in Slack, email threads, or verbal-only check-ins that leave no record, the Actions Hub creates a written, timestamped communication layer directly tied to each rep’s behavioral data – with acknowledgement tracking so managers know when a note has been read.

Introduction: Why Structured Coaching Communication Matters
Unstructured feedback – a comment in a team meeting, a Slack message, a verbal note after a call review – is the default in most sales organizations. The problem is not the intent behind that feedback; it is that unstructured communication leaves no searchable record, no confirmation of receipt, and no linkage to the behavioral data that prompted it.
When a manager prepares for a quarterly performance conversation, they should be able to pull up every coaching note sent to a rep, the signal that triggered each note, and whether the rep acknowledged it. The Actions Hub makes that possible without requiring a separate tool outside SuiteCRM.
The Three Action Types
Every action sent through the Actions Hub belongs to one of three types. Choosing the right type matters because it sets the tone of the communication and determines how it appears in the rep’s My Performance view.
Kudos (Green)
Kudos are positive recognition messages. Use them to acknowledge win streaks, improved discipline scores, strong deal hygiene, or any behavior you want to reinforce. Kudos appear in green in both the manager’s Action Feed and the rep’s My Performance view. They are coaching tools – not just morale boosters – because they make explicit which specific behaviors you are rewarding, reinforcing process standards across the team.
Coaching Note (Blue / Amber)
Coaching Notes are tactical instructions delivered in writing. Use them for specific behavioral guidance – for example: “Block 9-10 AM every day this week for task cleanup – your overdue task count is at 14.” A written Coaching Note attached to a behavioral signal gives the rep clear direction and context they can refer back to. It also documents that the manager provided guidance before a formal performance discussion.
Alert (Red)
Alerts are for urgent behavioral issues that require immediate attention – login gaps, significant activity drops, or critical deal hygiene failures. The red visual indicator signals urgency to the rep when they see it in their My Performance view. Alerts should be factual and specific: cite the signal, state the expected correction, and set a timeframe.
Where to Access the Actions Hub
The Actions Hub is available from multiple entry points in TeamPulse:
- Sidebar navigation – under the Tools group, select Actions to open the full Actions Hub view including the Action Feed.
- Member Drill – click the Send button in the rep profile header to send an action to that specific rep, with the rep pre-selected.
- Coaching Signals view – click the Send button on any signal card to initiate an action with that signal pre-attached as context evidence.
- Recommendations card – send an action directly from a recommendation, attaching the recommendation as the coaching context.
The sidebar badge on the Actions entry shows a count of actions that have been sent but not yet acknowledged by the recipient, giving managers an at-a-glance indicator of pending communication.
How to Send an Action: Step-by-Step
The following steps apply whether you initiate from the Actions Hub view or from any rep card or signal card:
- Step 1 – Click New Action from the Actions view, or click the Send button on a rep card, signal card, or recommendation card.
- Step 2 – Select the Action Type: Coaching Note, Kudos, or Alert.
- Step 3 – Select the Rep from the dropdown. If you initiated from a rep card, this is pre-filled.
- Step 4 – Compose your message text. Be specific – reference the behavior, the data point, and the expected action.
- Step 5 – Optionally attach a coaching signal or recommendation as context evidence. This embeds the relevant behavioral data alongside your message text so the rep can see exactly what triggered the communication.
- Step 6 – Click Send. The action is delivered immediately to the rep’s My Performance view.
How Reps Receive and Acknowledge Actions
Reps do not receive email notifications for actions by default – instead, actions appear directly in the rep’s My Performance view, which is their self-service behavioral dashboard inside TeamPulse. This keeps coaching communication inside SuiteCRM rather than fragmenting it across email or messaging tools.
When a rep opens My Performance, any unacknowledged actions are visible at the top of their view. The rep reads the message, reviews any attached signal context, and clicks Acknowledge to mark the action as read.
Once acknowledged, the action is removed from the manager’s pending count in the sidebar badge. The action remains visible in the Action Feed with a status of Acknowledged, so the communication record is preserved even after the rep has read it.
The Action Feed: History, Status, and 1:1 Preparation
The Action Feed is the chronological history of all actions sent by a manager. Each entry in the feed shows:
- Action type (Kudos / Coaching Note / Alert)
- Recipient rep name
- Message text (and any attached signal context)
- Timestamp of when the action was sent
- Status: Sent (delivered, not yet acknowledged) or Acknowledged (rep has read and confirmed)
The Action Feed is the primary tool for 1:1 meeting preparation. Before a weekly or monthly 1:1, a manager can filter the feed by rep and review the full communication history – what was flagged, what was praised, what was instructed, and whether the rep acknowledged each item. This replaces the typical pattern of trying to recall verbal feedback from memory or searching through Slack history.
Attaching Signal Context: Making Coaching Concrete
The most effective coaching actions in TeamPulse are those that include attached signal context. When you send a Coaching Note without context, the rep reads generic feedback. When you send the same note with a coaching signal attached – for example, a Task Overload signal showing 18 overdue tasks – the rep sees the exact data that prompted your message.
This specificity matters for two reasons. First, the rep cannot dispute the observation – the behavioral data is embedded in the communication. Second, it models the standard of evidence-based coaching, reinforcing that your feedback is driven by process data rather than subjective impressions.
To attach context, use Step 5 in the send workflow above, or initiate the action directly from a signal card or recommendation card – in either of those flows, the context is pre-attached automatically.
Next Steps: Documenting 1:1 Outcomes
The Actions Hub handles manager-to-rep communication. For recording the outcomes of coaching conversations after the fact – what was discussed, what was agreed, what the rep committed to – use the Coaching Journal. The Journal and the Action Feed together give you a complete written record of both the communications you sent and the outcomes of the conversations that followed.
To access the Coaching Journal, navigate to Tools → Journal in the TeamPulse sidebar.
Frequently Asked Questions
Where do reps see my coaching notes?
All actions sent to a rep appear in their My Performance view – the self-service view that reps use to monitor their own behavioral scores and signals. Actions appear at the top of that view, grouped by acknowledgement status. Reps do not need to navigate to a separate inbox or check email – the action is surfaced within the same product interface they use to review their own data.
How do I know if a rep has read my coaching note?
The sidebar badge on the Actions entry counts actions with a Sent status (delivered but not yet acknowledged). Once a rep clicks Acknowledge, that action transitions to Acknowledged status in your Action Feed, and the badge count decreases by one. You can also review the Action Feed at any time and filter by status to see exactly which actions remain unacknowledged for each rep.
Can I send the same action to multiple reps at once?
Each action is sent to a single rep. To send a team-wide message, send individual actions to each rep – this preserves the per-rep acknowledgement tracking and keeps the Action Feed filterable by recipient. Bulk actions are not supported in the current version.
Are actions visible to other managers?
Action visibility follows TeamPulse’s RBAC model. Managers see actions they have sent. Admins have visibility across all actions in the organization. Reps see only the actions sent to them.
