TeamPulse Deal Hygiene Monitor: Prevent Pipeline Rot in SuiteCRM

Pipeline rot is the silent killer of revenue. The Deal Hygiene Monitor in TeamPulse for SuiteCRM is a specialized behavioral engine that proactively scans every open opportunity to detect structural weaknesses before they become lost deals. Unlike traditional reports that focus on outcomes, this tool acts as an early-warning system – answering why revenue might be missing by diagnosing data neglect and process breakdowns.

Detailed Breakdown

The Deal Hygiene Monitor focuses on three primary pillars of healthy pipeline management: Clear Next Steps, Velocity, and Realism. Within the TeamPulse interface, these metrics are visualized to provide immediate visibility into which deals are being actively worked and which have been abandoned.

Hygiene Metrics and Pillars

The system performs automated “Zero-Tolerance Checks” to flag high-risk opportunities:

Pillar Metric Definition
Clear Next Steps No Next Step An open deal with zero future tasks, calls, or meetings scheduled in the CRM.
Velocity Stalled in Stage A deal that has remained in its current stage (e.g., Qualification) longer than the configured threshold (default 30 days).
Realism Expired Close Date Opportunities where the expected close date is in the past, undermining forecasting accuracy.
Integrity Missing Data Checks for missing amounts ($0 or null) or lack of any activity within the last 7 to 14 days.

The Hygiene Summary Bar

The Deal Hygiene view features a 4-column summary bar for rapid team-wide assessment:

  • Total Open Deals: The total volume of opportunities in the pipeline.
  • Stale (>14 days): The count of deals that have had no activity – calls, meetings, tasks, or notes – for 14 days. This is the no-touch threshold for the summary bar indicator.
  • No Next Step: The count of deals effectively “dead” because no future activity is scheduled.
  • Team Hygiene %: The percentage of the total pipeline that is currently healthy.

Note: the Hygiene Summary Bar “Stale” threshold is 14 days (no-touch period). The separate “Stalled in Stage” metric defaults to 30 days and is configurable in Settings > Scoring Rules.

Hygiene Score Card (Donut Chart)

At the top of the Deal Hygiene view, a large donut chart provides an instant health verdict for the entire team’s pipeline. The chart shows the percentage of open deals that have had at least one activity in the last 14 days – the same no-touch threshold as the summary bar.

Hygiene % Band Meaning
>85% Healthy (Green) Pipeline is actively worked. Most deals have a recent touchpoint.
70-85% Watch Territory (Amber) Pipeline is slipping. Identify which reps’ deals are untouched and intervene.
<70% Critical (Red) Serious pipeline rot. Likely to impact forecast accuracy within 2-3 weeks.

Hover over any segment of the donut to see the exact deal count in that band. Use the Hygiene Score Card as your weekly “go / no-go” check before any pipeline review meeting: if the team is in the red band, the meeting agenda should open with hygiene cleanup before forecasting.

Impact on Discipline Score

Deal Hygiene is not merely an informational metric – it is a core component of the Discipline Score.

  • Weighting: Hygiene factors default to 20% of a rep’s total Discipline Score.
  • Scoring Impact: A rep with high activity volume but poor data hygiene (e.g., many stalled deals) will see their score capped, typically around 80/100, ensuring a balance between quantity of effort and quality of process.

How to Use It

The Deal Hygiene Monitor is designed to facilitate targeted management intervention.

Interacting with the Screen

  1. Global Filters: Use the top bar to select specific Teams or Time Periods (1W, 2W, 1M). Note: the 3M filter is not available – use Custom for extended date ranges.
  2. Rep Hygiene Table: View a ranked list of reps showing their open deal count vs. their stale deal count. Click any column header to sort (e.g., sorting by “Stale” descending to see the most urgent needs).
  3. Member Drill View: Click on a specific rep’s card to open their dedicated hygiene panel. This lists every specific opportunity that has been flagged.
  4. Stale Deal List: Expand individual rows to see the Deal Name, Value, and exactly how many days have passed since the last activity.

Actionable UI Buttons

From the Member Drill or Coaching Signals view, managers can interact directly with flagged hygiene items:

  • Add Task: Instantly schedule a follow-up task to create a “Next Step.”
  • Mark Reviewed: Dismiss a hygiene signal from the active feed after discussing it with the rep.
  • Coaching Note/Alert: Send a direct notification to the rep’s “Actions” feed highlighting specific deals that need cleanup.

Next Steps / Decisions

After reviewing the Deal Hygiene Monitor, a manager should transition from observation to proactive coaching.

Management Best Practices

  • The “Pipeline Purge”: During weekly reviews, filter the monitor by “Hygiene Risk.” If a rep cannot define a real next step for a flagged deal, instruct them to close the deal as “Lost” to maintain forecast accuracy.
  • Identify Burnout: A sudden drop in the Hygiene % often indicates a rep is overwhelmed or disengaging from active deal management.
  • Sensitive Thresholds: If the sales cycle is high-velocity, go to Settings > Thresholds to reduce the “Stalled Deal” age from 30 days to 14 days to trigger alerts faster.
  • Standardize One-on-Ones: Use the “Stale Deal List” as a literal checklist for 1:1 meetings. This removes subjectivity from the conversation, focusing purely on documented behavioral gaps.

Troubleshooting / FAQ

Q: Why does a rep have a score of 0 on Deal Hygiene?
This typically occurs if every open deal assigned to that user has no future activity scheduled or has exceeded the stall threshold (30 days). It may also indicate that the user has “Read” permission issues for the Deals/Opportunities module.

Q: What qualifies as “Activity” to clear a Stale Deal flag?
TeamPulse looks for any Call, Meeting, Task update, or Note linked directly to that specific Opportunity in SuiteCRM. Merely logging into the CRM is not sufficient; there must be a recorded touchpoint on the deal record.

Q: Can we change the “Stale” and “Stalled” thresholds?
The summary bar “Stale” indicator is set to 14 days (no-touch period) and is a fixed dashboard signal. The “Stalled in Stage” threshold defaults to 30 days and can be customized in Settings > Scoring Rules or Settings > Thresholds to match your specific sales cycle.
